How to keep a petty cash book
Small daily spends (tea, courier, auto fare, stationery) come out of a small cash float. The petty cash book lists each one with a running balance, for one week or month at a time.
Step by step
- Petty cash book details. Number, date, Book from and Book to, and Opening cash (₹).
- Entries. For each spend or top-up: Voucher no., Particulars, Account head, Received (₹) or Paid (₹). Press Add entry for more.
- Check the balance. The running balance and the closing cash print at the end, with totals by account head.
- Signatures. Cashier and Approved by.
- Save and print. Enter the period's totals as expenses in the App, so profit and the cash book include them.
Worked example
1–7 November: opening cash ₹2,000. Tea ₹350 (Staff welfare), courier ₹180 (Postage), stationery ₹420 (Printing and stationery). Paid ₹950, closing ₹1,050. The owner tops up ₹950 on 8 November to bring it back to ₹2,000 (imprest system).
Common mistakes and how to fix them
- Big payments through petty cash. Keep petty cash for small amounts; use payment vouchers and the App for bigger ones.
